Job Description

As an administrative assistant, for the 513 EWS the ideal candidate will administratively support the command leadership team by maintaining schedules/calendars, drafting correspondence, drafting travel requests and vouchers, and oversee timesheets for government civilian employees. (02.1v1)

Essential Job Functions:

Maintaining the calendar for Squadron Commander and Director of Operations; coordinating schedules and meetings in accordance with commander's guidance.

Manages conference room calendars and processes room request from external agencies to support special events or DV visits.

Unit POC for in-processing and out-processing of all military, civilian and contractor personnel.

Updates and maintains unit recall roster and organizational charts in support of commander's programs.

Overseeing ATAAPS program for civilian timesheets and conducts bi-weekly reviews to ensure timecard accuracy.

Applying extensive knowledge of the Defense Travel System; create travel authorizations and submit return vouchers.

Reviewing and processing incoming and outgoing correspondence such as documents requiring Commander's action in accordance with USAF and/or Department of Navy Standards.

Apply knowledge of multiple office automation software programs, databases, and techniques to support office operations.

Produce presentations and a variety of documents such as e-mail, memos, reports, and spreadsheets.

Manage and updating unit file plan records serving as Unit Records Inventory Manager.

Provide training and safeguards Privacy Information as the units FOIA and/or Privacy Monitor.

Facilitate the acquisition of award materials for the recognition of squadron personnel.

Required Skills:

Due to the sensitivity of customer related requirements, U.S. Citizenship is required.

Active DoD Secret level security clearance (maintain throughout employment).

High School Diploma or GED and 7+ years' experience.

Prior experience serving as Executive Assistant within an Army Acquisition organization and ability to work independently and in direct coordination with senior level Government personnel.

Proficient using Microsoft Word, Excel, PowerPoint, and Outlook.

Must have strong written and verbal communications skills.
